HR and payroll software that fits your rules, not a template's
Attendance, leave, payroll and statutory compliance in one system, built around the shift patterns, allowances and approval chains your business actually runs on.
What hr & payroll management system means
An HR and payroll management system handles employee records, attendance, leave, salary processing and statutory compliance in one place. Custom development matters when a business has shift patterns, allowances or approval rules that off-the-shelf products cannot express without workarounds.
Payroll is unusual among business systems in that being approximately right is the same as being wrong. A leave balance that is off by half a day, an overtime rule the software cannot express, a PF calculation that does not match what was filed — each produces manual correction every month, and the spreadsheet that was supposed to be replaced comes back as a shadow system beside the software.
That is usually what drives businesses to custom development here. Not that packaged payroll products are bad, but that a manufacturer with rotating shifts, a hospital with on-call allowances or a firm with location-specific rules ends up spending more on workarounds than the licence saved. The right question is not custom versus packaged in general — it is whether your rules fit inside the packaged product without a spreadsheet on the side.
What's included
Employee records
One record per person covering personal details, documents, contracts, designations and history, with role-based access so managers see their team and nobody else's salary.
Attendance and shifts
Biometric, web or mobile capture, with shift patterns, overtime rules and regularisation workflows expressed as your policy actually defines them.
Leave management
Leave types, accrual rules, carry-forward, holiday calendars and approval chains, with balances that reconcile against payroll rather than being tracked separately.
Payroll processing
Salary structures, allowances, deductions, arrears and reimbursements, with a payroll run that can be reviewed and corrected before it is committed.
Statutory compliance
PF, ESI, professional tax and TDS handled with the reports and file formats filing actually requires, updated as rates change.
Payslips and self-service
Payslips generated and distributed, with an employee portal for balances, requests and documents so HR stops answering the same questions.
The process, step by step
- 01
Policy capture
We document how your rules actually work, including the exceptions people apply informally. This stage takes longer than clients expect and prevents the most expensive category of rework, because payroll bugs are discovered by employees.
- 02
Structure design
Salary structures, leave types, shift patterns and approval chains are modelled and confirmed against real examples from recent months, before anything is built.
- 03
Build
Developed module by module, starting with employee records and attendance, since payroll depends on both being right.
- 04
Parallel run
The system runs alongside your existing process for at least one full cycle and the outputs are compared line by line. Payroll is not a system you cut over to on faith.
- 05
Compliance verification
Statutory calculations and report formats are checked against actual filings, not against documentation, because the two disagree more often than they should.
- 06
Rollout and training
Staged rollout with training for HR and for employees using self-service, plus a support arrangement covering the first live cycles closely.
Who this is for
Manufacturing
Rotating shifts, overtime rules, production incentives and contract labour alongside permanent staff.
Multi-location businesses
Different holiday calendars, state-specific professional tax and location-level approval chains in one system.
Healthcare and hospitality
On-call allowances, night differentials and roster-driven attendance that generic payroll products struggle to express.
Professional services
Project-based cost allocation, where payroll data needs to reach billing and profitability reporting.
How we approach it differently
- Parallel run before cutoverAt least one full cycle compared line by line against your existing process. Payroll is not a system anyone should cut over to on faith.
- Access and audit taken seriouslySalary data is among the most sensitive a business holds. Role-based access and audit logging are built in, not added when somebody asks.
- Your rules, including the exceptionsThe informal adjustments people make each month are captured as rules, which is usually where packaged products fail.
- Supported through live cyclesThe first live payroll runs are supported closely, because that is when problems surface and when they cost the most.

HR & Payroll Management System: common questions
Should we build custom or buy a payroll product?
Buy, if your rules fit. Packaged products are cheaper and maintained for you, and for straightforward salary structures they are the right answer. Custom development earns its cost when shift patterns, allowances or approval rules cannot be expressed without a spreadsheet running alongside — which is when the licence saving has already been spent on manual work.
Does it handle PF, ESI and TDS?
Yes, including the report and file formats filing requires. Statutory rates and thresholds are configurable rather than hard-coded, so a rate change is a settings update rather than a development request.
Can it connect to our biometric attendance devices?
In most cases yes. Common devices expose either a database or an export we can read on a schedule. We verify this against your specific model during discovery, since the integration approach differs and it affects the attendance design.
How is salary data protected?
Role-based access so people see only what their role requires, encryption for sensitive fields, and audit logging of who viewed or changed what. Where hosting is a concern, the system can run on your own infrastructure rather than shared hosting.
How long does implementation take?
Typically a few months, with the largest variables being how many policy exceptions exist and how clean the existing employee data is. The parallel run adds at least one full cycle before cutover, and that is not a stage worth compressing.
Can it integrate with our existing ERP or accounting system?
Yes — payroll output usually needs to reach accounting, and cost data often needs to reach project reporting. We scope those integrations explicitly, because a payroll system that produces a PDF somebody re-keys has solved only half the problem.
